Finding Attachments PDF Print E-mail

A project is a collection of tasks.  Tasks are collection of comments and comments with attachments.

In the course of a project it's common to attach a few files to a task item.   However, a project can be made up from 100 tasks, so a project can easily end up with 100+ files.    In Dingo, you have (potentially) two ways to get to your files.

As a project manager, you will have a Files option in your control panel.   When you click this you will see all files for all tasks/projects.   (even those task items that have been closed)

The Files Option in the Dingo control panel

(the links within the blue rectangle are only visible to Joomla users who are Manager or above)

As a project member, you will not see this row of options, so your only method of viewing files would be to look within a specific task/item.   (remember, Dingo helps you manage items where a task is something actionable.   You do a task while an item could be a notation or milestone within a project which by itself, may not have a specific delivery or date due.  The best example of a project item is when you are attaching notes from a meeting that included a document.   It consumed time, it included a report -- but nobody is assigned it it and no follow-up is needed)

Within a task item, attachments are part of comments.   When viewing the comments within a task, the comments will be visible as Dingo will show filename, size and a few icons to manipulate that object.

Delete icons

Project mangers will see two delete icons.  The first one is for the comment, the second for the attachment.   Project Members, the worker bees, ... they will see neither delete icons as only PMs can delete comments and the assoicated attachments.    e.g., If a member wants to delete something, that should be entered as a comment within a task along with the explanation of why it needs to be removed.

Finding Files In a List of Many

If you have 100s of files in your Dingo, you can narrow the list by filtering for results.    Start by selecting the project or by the name of the person who uploaded.  (or both)

The Files Filter

If instead you know the file, just enter a few chararcters into the Filename field that make it unique.  (does in-string matches so if you're looking for file 123ABC.pdf you can find quickly it by typing "123" or "ABC" ... assuming you have don't have lots of 123 or ABC files)

Last but not least ... All of this was suggested by a Dingo user.   We value your input very much so if you have any ideas to make Dingo better, please do share via the wish list in the forum.
